ESI’s proprietary web-based vehicle tracking system has proven invaluable during countless automotive events. Our online system tracks vehicles in real time from issuance to turn-in as events progress, and it gives clients valuable data about their vehicle fleet. For every event, ESI assigns a dedicated vehicle manager to maintain the fleet and act as a liaison between local dealerships and the client for all service and repairs.
Before an event begins, we enter all vehicles into a database. During the event, we record mileage, damage and maintenance performed or required on a website that clients have access to via a confidential pass code.
On the website itself, clients are able to:

Clients can query vehicles by brand, type, VIN or even color.

Each new vehicle has a separate history page that includes accountability for who put a vehicle in service and who released the vehicle from service.

Our internal checklist and accountability system is updated daily during the event to ensure that every vehicle is maintained at peak operating condition. If special repairs are completed, or if the vehicle required dealer service, these records are kept in the vehicle’s service file.
Along with the electronic tracking system, ESI keeps hard copies of vehicle records on-site. When the tour ends, vehicles are returned to the client with a complete service history and documentation. Copies of vehicle records are also given to the port of final destination, marketing department and vehicle administration personnel.
Additionally, we have developed vehicle tracking systems that let journalists reserve and check out the exact car they want to drive on a long-lead event. The system lets the PR staff know exactly who is driving their cars and where. Typically, this information is displayed on a plasma screen at the hotel headquarters, providing both journalists and PR staff with valuable information.
